Operators and Certifications
Operators and certifications can be imported into the RALS™ SYSTEM from a source file.

When performing an operators and certifications import, source data must be in a TSV file. Operator data and certification data is included in the same import file but separated into different rows. The data in the import file is processed top to bottom, but all operator rows are processed before certification rows. This allows the processing of operator data before device type data, regardless of the ordering of rows in the import file.
If Operator IDs are being updated in the import file, then device certifications cannot be updated in the same file. Certifications must be included in a separate import file from Operator ID updates.
File Format
Operator and certification data is imported using a tab-delimited plaintext file. Import files must:
- be tab-delimited (TSV);
- contain the expected header row; and
- not exceed 10,000 rows.
Only non-support operators can be imported. Associated certification records can also be imported for all supported device types.
Default Values
When importing operators and certifications, the following fields allow defaults to be set for an operator:
- Active
- Login Locked
- Access All Institutions
- Password
- Home Location
- Role
- Culture
- Time Zone (if multiple time zone support is enabled)
- Time Format
Empty String Replacement
When importing operators and certifications, the following fields allow replacement with an empty string:
- LDAP Unique ID
- LIS Memo
- Notes
- Phone
- Fax
- Diploma Number
- Transcript Number
- License Number
- Primary Source Verification Notes
Case Sensitivity
When importing operators and certifications, the following fields in the file are NOT case sensitive (e.g., ABC is the same as aBC):
- Operator ID
- Operator ID Update
- LDAP Unique ID
- Role
- Locations
- Device Operator ID
- Certification Observer
Time Zones
The operators and certifications file must contain a column for time zone regardless of whether multiple time zone support is enabled.
- If multiple time zone support is NOT enabled, the time zone field must be blank or “Browser Time”. Regardless, all new and edited operators will be saved with “Browser Time” as their time zone.
- If multiple time zone support is enabled, the time zone field is required for new operators. It can be blank if a default value has been selected. If the time zone field for an existing operator is blank, the time zone will not be changed.
Review Import
Prior to import, you can preview changes and review operators and certifications import information, including:
- File name
- Language
- Number of new operators
- Number of new certifications
- Number of edited operators
- Number of edited certifications
- Number of name changes
If changes are unable to be made, the errors will be displayed in a table for your reference.
