Tasks

The RALS™ SYSTEM provides the ability to manage tasks. Tasks allow operators to log maintenance activity. Regular activities can be defined as tasks that are recurrent, due one time, or that are done at irregular intervals not having a specific due time. An operator can indicate when tasks are completed or dismissed.

Due Time Statuses

Each task has a status that indicates whether the task is due in the user’s preferred time zone (if multiple time zone support is enabled).

Icon Status Notes
Not Scheduled Any scheduled tasks that are deactivated will result in the schedule (Due Time) being cleared
Not Yet Due Indicates scheduled tasks are due in more than 24 hours in the user’s preferred time zone (if multiple time zone support is enabled)
Due Soon Indicates scheduled tasks are due in less than 24 hours in the user’s preferred time zone (if multiple time zone support is enabled)
Overdue Indicates scheduled tasks are past due

Executing a Task

Tasks can only be executed manually when they:

Not all task types support automatic execution.

Each time a task is executed, a historical record of the execution is saved.

Scheduling a Task

Tasks can be scheduled to be executed a single time or multiple times according to a recurring schedule. Tasks can only be scheduled if they are active.

For scheduled tasks, the next execution time is displayed as Due Time. If Due Time is blank, the task is not scheduled. Due Time is updated for recurring tasks according to the reoccurrence selections and relative to the execution time or completion time of the task (depending on whether the task is configured to repeat based on the execution time or completion time). The Due Time for tasks configured for automatic execution is not updated when the task is executed manually.

Task Ownership

When an operator is assigned as task owner, content associated with the task (e.g. recipients, display views) is accessible according to the user’s institution access. A task is only visible to the owner of the task.

E-mail View tasks support ownership.

Institution Access

A task’s institution identity is defined by user selection when the task is created. The assigned institution cannot be changed later.

Tasks can be manually added.

Editing

Tasks can be edited.

Cloning

Tasks can be cloned. All values will be copied, except:

Name The RALS™ SYSTEM will prompt user to enter a new name
Institution The RALS™ SYSTEM will prompt the user to change the institution if desired
Active Will be set to true even if cloned from a deactivated task

Deactivating or Deleting

Tasks can be deactivated/activated. A deactivated task cannot be executed.

Active Indicates whether task is currently active
Device Type Device type associated with the task
Institution Institution associated with the task
Name Name associated with the task
Notes Open text field to be used at the operator’s discretion
Owned Indicates if task is owned
Task Type Task type associated with the task

Automatic Execution Indicates whether the task will be automatically executed at Due Time
Due Time Date and time task is scheduled to be executed; if multiple time zone support is enabled, it is displayed relative to your time zone and automatic tasks will execute at the time displayed
Interval The time that the RALS™ SYSTEM will add to the due date or completion date after completion of a task to calculate the task’s next iteration’s due date
Repeats Based On Execution of task based on due time or completion time
Execution Status
Last Execution By Indicates the operator who last executed the task; displays “Automated Process” for automatic executions
Last Execution Status Execution status associated with the task
Last Execution Time Indicates the date and time the task was last executed; if multiple time zone support is enabled, this is relative to your time zone preference
